Statuses are how you mark a referrals progress and helps you keep track of each referrals final outcome. This is done separately by each facility on a referral.
Whenever you want to update a status of a facility on a referral you can either:
Some statuses have sub-statuses, offering more detailed information about how a referral is progressing within a specific status. When choosing these statuses, you must select one of the sub-statuses. You can do this in two ways:
There are 6 status options:
The initial status for a referral is "New," indicating that it has not been worked on. This status is automatically assigned upon creation. When a facility associated with the referral begins reviewing it, the status should transition to the next stage, "In Review."
Once a facility moves away from the "New" status, there is no option to revert back to it.
In Review should be selected once a facility begins to work on a referral.
Sub-statuses:
When you are able to accept this referral into your facility, the referral should be updated to the Accepted status.
Sub-statuses:
Admitted is for a referral that got admitted to the facility.
When changing to this status, a pop up will prompt you to select if the admit is a New admission or a Readmission and to put in the date of admission.
If your facility cannot accept a referral, you can change its status to "Declined." When making this change, a pop-up will appear, prompting you to choose a reason for the decline. Reasons are categorized into Clinical, Behavioral, Financial, and Technical sections. You can add an optional note which will be added to the notes section of the referral.
Once you select "Declined," it will initially display as "Declined pending." Individuals with the appropriate permissions will see an "approve" button next to "decline pending." Upon approval, the status changes to "Declined.”
Once this status is set, a notification is sent to all users from all facilities associated with the referral.
The "Lost" status is applied when a referral is no longer available for acceptance. When updating to this status, a pop-up will appear, prompting you to choose a reason for losing the referral. Reasons are categorized into Canceled, Alt Care Arranged, and Competitor sections. You can also include an optional note, which will be added to the notes section of the referral.
Once this status is set, a notification is sent to all users from all facilities associated with the referral. The notification includes the reason, allowing other facilities to update their status accordingly.
The date of the status change and the status reason are visible beneath the status on the referrals page. You can edit this information by clicking on the edit button that appears when you hover over it.
