Manual Mode in AR Tracking

Manual Mode allows facilities to begin AR Tracking immediately when onboarding a new facility, without waiting for the billing system to be fully set up.

When You Should Use Manual Mode

  1. A facility is newly onboarded
  2. Billing data is not yet available
  3. Residents must be tracked in AR Tracking right away

How Manual Mode Works

Manual Mode is a facility-level setting and can only be enabled under specific conditions:

  1. The facility is not mapped to a billing facility
  2. No residents have been automatically created in AR Tracking through an import from the billing system

How to Enable Manual Mode

  1. Go to Facility Settings and choose the facility
  2. Click the Software Info tab
  3. If the facility is eligible based on the conditions above, manual mode will be available.
  4. Toggle Manual Mode = ON
  5. Once enabled, users assigned to that facility will see an “+ Resident” button on the Residents page.

What Happens in Manual Mode

  1. A button becomes available to manually create residents
  2. Manually created residents display a banner indicating they are manual
  3. These residents do not have a Billing ID

Manual residents are included in AR Tracking reports but do not show billing data.

Switching From Manual Mode to Auto (regular) Mode

Once billing data becomes available:
  1. Map the facility to the billing software under Facility Settings → Software Info
  2. Then map each manual resident to the corresponding billing resident under the AR Tracking → 3-dot menu → Map Residents page. This page is only available when there are residents ready to be mapped.
  3. After all residents are mapped, you can disable Manual Mode. Toggle Manual Mode = OFF

If a manual resident can not be mapped, you must delete the manual resident to turn off Manual Mode.
