Task List in AR Tracking

The Task List in AR Tracking helps you manage resident-related follow-ups and assignments in one central place. You can view and create tasks from the Task List dashboard—while still linking every task to a specific resident.

Adding a Task

Tasks can be added in two places:
  1. From the Task List Dashboard
    When creating a task this way, you’ll be required to select a resident the task applies to.
  2. From a Resident Profile

Task Details

  1. Each task includes the following fields:
  2. Resident – all tasks must be tied to a specific resident.
  3. Assigned To – can assign to any user with access to AR Tracking, the permission "Can be assigned to as task", and the facility the resident belongs to.
  4. Task Type – choose from a list of predefined categories. This list can be managed under the "AR Tracking" settings page.
  5. Description – provide any relevant information or instructions.
  6. Due Date
  7. High Priority – optional checkbox to flag important tasks.

Task Statuses

Tasks move through two statuses:
  1. In Progress – default status when the task is created.
  2. Complete – anyone with access to the task can mark it as complete. At least 1 update or attachment had to have been added to the task to mark as complete.
Closed – after a task is marked complete, a user with the permission can officially Close the task. Closed tasks don't show on the task table unless "Show Closed" is checked off.

Updates and Attachments

Updates (Messages)
  1. Users can leave updates on any task they have access to.
  2. These appear in the Updates section of the task.
  3. A red message icon will appear when there are unread updates.

Attachments
  1. Files can be uploaded to a task.
  2. You can view or delete the attached files.
  3. If your organization uses the Document Manager app, you can add the file directly into Document Manager from the attachment actions.

User Access & Permissions

  1. View Task Dashboard only - Give a user access to the Task List, without giving them access to resident profiles.
  2. Create and edit tasks
  3. Delete tasks
  4. Can approve a completed task (Close)
  5. Can be assigned to a task
Everyone with access to the task can:
  1. View
  2. Change the status
  3. Add updates or upload attachments

Task List Report

A detailed list of all tasks is also available in the Task List Report, which allows you to filter, view, and track task activity across your organization.
